What is GLYPH?

GLYPH is a secure collaboration platform designed with quantum-safe technology. It streamlines communication through organized Workspaces and Groups, leveraging role-based permissions to ensure members access only the information they need.

Workspaces

A workspace generally represents one organization or team of people. It provides team members with access to a set of user-defined groups and meetings that, in turn, are the basis for communication and collaboration amongst the organization or team. Most organizations only require a single workspace, but users can be members of multiple workspaces, and have different roles within each workspace.

Invites and Account Roles

Account roles in GLYPH define the permissions for each member. Admins and managers have elevated privileges, while users and guests can collaborate using the core features.

  • Admins and Managers:
  • Invite Type:
    • Individual: Invite a single member to your workspace.
      • Enter Email: This email will be used to log in to GLYPH.
      • Send Link in Email Invitation: Check this box to send the invitation directly via email.
        • If unchecked:
          • After creating the invitation, you will receive a link and a QR code.
          • You can copy the link or QR code and send via another messaging platform.
    • Mass Onboarding: Invite multiple guest or users to your workspace.
      • Enter Campaign Name: Used to identify why the invite was created.
      • Enter start date/time range: The earliest time new members can onboard using the link.
      • Enter end date/time range: The expiration time for the invite link, after which new members cannot onboard.
  • Select Role:
    • Admins can:
      • Setup and access archiving.
      • Invite new members.
      • Mange workspace members.
      • Manage group members and devices.
      • Use all the core features of GLYPH.
    • Managers can:
      • Invite new members.
      • Manage workspace members.
      • Manage group members and devices.
      • Use all the core features of GLYPH.
    • Users can:
      • Manage group members and devices only in groups they create.
      • Access all the features of GLYPH, except those limited to admins and managers.
    • Guest:
      • Have limited access to only groups they have been added to.

Add to Groups (Recommended):

  • Add one or multiple groups to the invite.
  • Added groups will show in the new member's group list upon their first login.
  • Existing members using a mass onboarding link with groups attached will also have these groups added.

Huddle Group:

  • If a group is added, new and existing workspace members can join a group huddle.
    • New member experience
      • Open the huddle group link.
      • Complete onboarding to create a GLYPH account.
      • Land in the pre-huddle view and select "Join" when ready.
      • Add your device to the group to begin messaging and file sharing.
    • Existing member experience
      • Open the huddle group link.
      • Skip onboarding and land in the pre-huddle view, then select "Join" when ready.
      • Add your device to the group to begin messaging and file sharing.

Send Invite:

  • After selecting the "Send" button, you'll be presented with an invite link and a QR code.
  • Copy the link or QR code and send it via another messaging platform.

Pending Invites:

  • To view any pending invites, navigate to Pending Invites
  • Pending invites will display the email address or the campaign name along with the expiration date.
    • Individual invites are active for 7 days from creation.
    • Pending invites with a strikethrough have expired and are invalid.
  • Expand invites to change invite fields, resend or delete them.
    • Deleting an invite makes it invalid and remove it from the pending invite view.
  • Resending an invite
    • Creates a new link, previous links will become invalid.
    • Check the "Send Link in Email Invitation" box if you'd like the link sent to their email.
    • New links are active for 7 days from creation.
Manage Workspace Members

Admins and Managers:

  • Log in to GLYPH and navigate to Manage Workspace
  • Using the search tool to find workspace members.
  • Highlight and select the edit icon next to a member to edit their details:
    • First Nam
    • Last Name
    • Role
    • Member changes will save automatically.
Groups and Direct Messages

GLYPH conversations occur within groups and direct messages. While direct messages are great for off-topic discussions, groups are better for organizing communications around specific topics, projects, or teams. In both groups and direct messages, you can:

  • Send messages
  • Post images
  • Share files
  • Conduct video huddles
  • Create message threads with group members

We recommend that account admins create a few relevant groups for your team’s needs before inviting additional members into your workspace.

How to Create Groups

  • Select the icon next to groups to begin creating a new group.
  • Name your group and give it a description. Descriptions help members understand the purpose of the group.
  • Select Open or Private:
    • Open:
      • Open groups are visible under the browse groups list for all members, except guests.
      • Members can freely join open groups.
      • Group owners or managers can add guests to their groups. See group members and roles for more information.
    • Private:
      • Private groups are not visible in the browse groups list.
      • Private groups require group owners or managers to add new members.
  • Select Posting Behavior:
    • Normal:
      • All members, except observers, can collaborate by sending messages, sharing images, uploading files, and joining video huddles.
    • Broadcast:
      • Group owners, managers, and account admins can send messages, share images, and upload files.
    • Submission:
      • Group owners, managers, and users can post messages. Only owners and managers can read messages.
  • Select Crypto Scheme:
    • With the emerging threat of quantum computers, it’s crucial to protect our communications using robust defenses. Our crypto-agility framework allows group creators to choose their cryptography scheme. As new and approved protections become available, we will update these options accordingly.
      • Elliptic Curve:
        • Traditional, tried, and true public key encryption. Suitable for most, but will be susceptible to quantum computers in the near future.
      • CRYSTALS (Post-Quantum Encryption):
        • NIST finalist designed to withstand adversaries with quantum computers.
  • Click "Create"
  • Adding Group Members:
    • Web App:
      • After group creation, find the newly created group in your group list > Click the 3-dot menu > Members
      • Using the search tool, group owners and managers can add members to their groups.
        • Find member and select them
        • Once selected, you can expand/close a members device list.
        • Select member devices.
        • Verify member role.
        • Once all members and devices have been selected, click "Save."
        • If you leave this view without saving no changes will be made.
    • iOS and Android:
      • Once created, we'll take you into the group members view to begin adding other members and devices.
      • Select your name to expand your device list, and toggle any other devices on you'd like to add.
      • Using the search tool, find other members to add to your group.
      • Select and verify member devices.
      • Verify member role.
      • Once all members and devices have been selected, click "Save"
      • If you leave this view without saving no changes will be made.

How to Create Direct Messages

  1. Web App and iOS
    • Select the icon next to direct messages to begin.
    • Using the search tool, find a member you'd like to direct message.
    • Select and verify member devices
    • Once all members and devices have been selected, send a message to create a new direct message.
  2. Android
    • Select icon next to direct messages to begin.
    • Using the search tool, find a member you'd like to direct message.
    • Select and verify member devices.
    • Select the back arrow to add additional members.
    • Once all members and devices have been selected, hit "Next" from the member search view to continue.
    • Send a message to finish creating the direct message.
Group members, Roles and Permissions

When someone creates a group in GLYPH, their device is automatically added to the group and they become the group owner, learn more about member devices below. Group owners can moderate the group and assign group managers to assist with management tasks.

  • Viewing Group Members:
    • To view group members, select the three-dot menu in a group and choose "Members."
  • Member Roles:
    • Owners:
      • Role given to group creator.
      • Can add/remove members and devices from the group.
      • Can promote/demote group members.
      • Can change crypto-scheme (more info below).
      • Can update group name, description and visibility (see group settings for more information).
    • Managers:
      • Can add/remove members and devices from the group.
      • Can promote/demote group members.
      • Can Change crypto-scheme.
    • Users:
      • Default role for members added to normal groups.
      • Can add/remove their own devices only.
    • Observers:
      • Default role for members added to broadcast groups.
      • Can add/remove their own devices.
      • Can only view messages and files.
  • Change crypto-scheme:
    • Select the "Check" button to verify all devices are up to date.
    • If there are old devices, remove them from the group and try again.
    • Once verified, select "Migrate" to swap between crypto-schemes.
  • Add Members and Devices:
    • Using the search tool, group owners and mangers can add members to their groups.
      • Find member and select them.
      • Once selected, you can expand/close a members device list.
      • Select member devices.
      • Once all members and devices have been selected, click "Save."
      • If you leave this view without saving no changes will be made.
  • Removing Members and Devices:
    • Select member to expand their device list.
    • Toggle or uncheck devices.
    • If you remove all devices for a member, they will no longer be a member of the group after saving.
    • Once all members devices have been unchecked or toggled off, hit "Save."
    • If you leave this view without saving, no changes will be made.
  • Update Group Name and Description:
    • Owners can change the group name and description at any time, and changes will save automatically.
Messaging and Notifications

GLYPH has all the core messaging features you'd expect in a collaboration application. From formatting your text and sharing files to @mentions and threading, GLYPH ensures seamless and effective communication within your workspace. Explore the detailed functionalities below to make the most of your messaging and notification settings.

Rich Text Editor

  • You can control the appearance of your text by using the formatting tools provided.
    • Paragraph and heading size.
    • Bold, italicize, underline and strikethrough.
    • Insert hyperlinks.
    • Upload images and files (file uploads only available on web app currently).
    • Bullet Lists and number lists.
    • Code block, block quotes, subscript and superscript.

Push Notifications

  • Allow push notifications upon first login to receive message notifications in groups you participate in.
  • To adjust your settings, log in to GLYPH on your device:
    • Chrome, Edge or Firefox: Click the site information icon in the URL bar to view your notification permission settings.
    • iOS: Go to the Settings app > Notifications > GLYPH.
    • MacOS Safari: Go to Safari > Preferences > Notifications > Set GLYPH to Allow.

@ Mentions

  1. Typing @ into the message box will bring up the group member list.
  2. Select a members name, repeat for each member you’d like to mention.
  3. Send your message.
  • @mentions will notify the member(s) by sending a push notification and highlighting the group in blue text for that member(s).
  • Other group message activity will not send push notifications and will highlight the group in bold white text.
  • Direct Messages will always send a push notification to each participant, even without @mentions

Personal Notification Settings

  • You can adjust your group notification settings by going into the Group Settings view.
  • Changes to notification settings will apply to all your participating devices.

Message Threads

  • Message threads are created when you reply to a specific message:
    • On the web app: Highlight a message and click the icon message icon to start a thread.
    • On mobile: Tap a message to start a thread.

Deleting Messages

  • On web app: Highlight the message and click to delete. Deleting a message will delete the message for all participants
  • On mobile: Long press on a message to delete locally (this device only) or request delete (all members devices).
Video Huddles and Calls

One of GLYPH's most powerful features, Huddles, allows group members to meet privately with just two clicks. Additionally, Huddles include a built-in calling feature, enabling you to contact workspace members whether they're at their desk or on the go.

Starting a Video Huddle
  • Video Huddles can only be joined by group members, unless invited by a workspace administrator or manager, see [Invites and Account Roles].
  • Select the group you would like to huddle with and click the icon in the top right-hand corner of the screen. You will be taken to a pre-huddle screen.
    • You can select group members you’d like to call once the huddle is launched.
    • In a direct message chat, you will call the user(s) automatically once the huddle is launched.
    • On browser, if creating the huddle, select Performance Optimized or Ultra-Secure and then click Join.
    • If joining a huddle in progress, click Join from the pre-huddle screen.

Performance Optimized

  • Great for larger huddles, users with limited bandwidth, and devices with limited resources.

Ultra-Secure

  • Ideal for huddles where sensitive information is being shared, as it enables additional security (2-3 participants max). Note that some users may experience performance issues on devices with limited resources.
Huddle Controls

Web App

  • Hover your pointer at the bottom of the huddle screen to bring up controls:
    • 3-bar icon will bring up your group list, allowing you to chat in any chats you participate in.
    • Camera and microphone icons to toggle your camera and microphone on/off.
    • Share screen icon to share your screen. You can share your entire screen, a browser tab, or an application.
    • Expand icon to minimize or expand your huddle screen to use messaging.
    • 3-dot icon to change your video aspect ratio.
    • Leave icon to leave the huddle.
    • You can mute other participants for yourself by hovering your pointer over their video and clicking the speaker icon in the top right-hand corner of their video.
    • When the speaker view is active or someone is sharing their screen, you can select which screen or participant to pin by clicking on their feed.

iOS

  • Message icon to navigate back to chat, you can return to the call by selecting the red camera or phone icon.
  • Swap icon to swap your device camera selection.
  • Camera and microphone icons to toggle your camera and microphone on/off.
  • Leave icon to leave the huddle.
  • When the speaker view is active or someone is sharing their screen, you can select which screen or participant to pin by clicking on their feed.
Starting a Call

iOS

  1. From the direct message list, select the phone icon to begin a call with the member(s).
  2. You’ll hear a ringback tone while waiting for the other member to answer.
  3. If the other members don’t answer, the call will eventually timeout.
  4. Once answered, the call will connect with voice only, but participants can turn their cameras on and will have access to the same controls as a [huddle].

Web App

  1. Select a member in your direct message list and click the camera icon in the top right corner of your screen.
  2. You’ll now be in a pre-call screen. Once you click “Join,” the other members will receive a call notification on participating devices.
Answering a Call

iOS

  1. Answering a call while your phone is locked will connect you with voice only. You can use the native call view to toggle speakerphone, mute your microphone, or launch the GLYPH app to turn your camera on.
  2. Answering while your phone is unlocked will open GLYPH and connect you with voice only. Participants will have access to the same controls as a [huddle].

Web App

  1. If you’re logged into GLYPH on the web and your browser [notification settings] are set to allow, you’ll be able to receive call notifications.
  2. When a call notification appears, click the check to accept the call.
  3. You’ll be taken to the pre-call screen. Click “Join” when ready.
Meetings
Creating a Meeting

Web App:

  1. Next to your workspace name, select > Meetings > Create Meeting.
  2. Enter the meeting name.
  3. Select additional hosts (additional hosts must have an account in your workspace).
  4. Select the meeting type.
  5. Select other settings:
    • Bypass waiting room – off by default for security purposes.
    • Enable Telephony – off by default for security purposes.
  6. Click Start to launch the meeting immediately, or Save for later:
    • You can copy the meeting information here, or
    • Use Google Calendar integration, or
    • Download a .ics file for other calendars like Outlook.
  7. You can return to this view to edit, launch, or delete meetings.
Meeting Features

Hosts can:

  • Launch/Start meetings.
  • Allow/Deny entry from the waiting room.
  • Mute all or individual participants.
  • Remove participants.
  • Unpublish participants' shared screen.

Participants can:

  • Share their screen.
  • Mute their own camera or mic.
  • Mute other participants' camera or mic for their own view:
    • Highlight the participant to show their camera/mic icon in the top right corner of their video feed.
File Sharing
Sending Files

Web App:

  • Use the file upload button above the message box.
  • You can also drag and drop or copy and paste a file from your device.
  • You can add one file at a time to the message box.
  • You can add a message or another file before or after by clicking the icon on the file border.
  • Click the send button to send the file.
Downloading/Viewing Files
  • On the Web App: Click the file in the message. The file will download to your downloads folder on your device.
  • On iOS:
    • Select the file or navigate to Files.
    • Select the file to view it.
Searching Files
  • Select a group.
  • Click the Files icon.
  • You can filter your search results by typing the file name.
  • You can download or delete a file:
    • On iOS: You can download the file from the cloud and then view it within the app. You may also forward the file from here.
Deleting Files
  • Deleting a message containing a file will not delete the file from the group.
  • To delete a file:
    • Select a group.
    • Click the Files icon.
    • Select the file.
    • Click the delete icon to delete the file.
    • On iOS: You can delete the file from your device and then delete it from the cloud if you wish. Note that files are not stored in your phone’s file folder but are stored encrypted within the Mercury Workspace mobile app.
Workspace Profile Settings

Each workspace you participate in can have different profile settings, allowing you to customize your experience for each environment.

  • Access this view by clicking the profile icon at the bottom of your screen.
  • Members can update:
    • Avatar
    • First name
    • Last name
    • Time zone
    • Change Send on Enter Key setting
Multi-Factor Authentication

GLYPH supports multiple security measures to keep your account secure. You can choose from various methods, including portable security keys, local device authenticators, and code authenticators.  Will ask you to set these up when you create your account, but you can always set them up later in Authentication and Settings.

Portable Security Keys (Third Party Devices)
  • Security keys can be set up in the iOS app under Settings > MFA Devices > Portable Security Keys +.
  • To delete a device in the web app, select the device and click the delete icon.
  • To delete a device in the iOS app, go to Settings > MFA Devices, then swipe left on the device to delete.
Local Device Authenticators (Biometrics)
  • Face ID or Touch ID can be enabled in the iOS app under Settings > Enable FaceID/TouchID.
  • To delete a device in the web app, select the device and click the delete icon.
  • To delete a device in the iOS app, go to Settings > MFA Devices, then swipe left on the device to delete.
Code Authenticators (OTP Apps)
  • Google Authenticator is currently supported, but you may be able to use other OTP apps.
  • To delete a device in the web app, select the device and click the delete icon.
  • To delete a device in the app, go to Settings > MFA Devices, then swipe left on the device to delete.
Camera and Microphone Troubleshooting
Chrome or Edge
  1. Navigate to GLYPH and start a Video Huddle.
  2. When first using our Video Huddles, you will be prompted to Allow or Block. Make sure to allow GLYPH to use your Camera and Microphone.
  3. To check or change your permissions, log in at GLYPH and click the icon in the URL bar to view your site permission settings.
Firefox
  1. Navigate to GLYPH and start a Video Huddle.
  2. When first using our Video Huddles, you will be prompted to Allow or Block. Check the "Remember this decision" box and Allow.
  3. To check or change your permissions, log in at GLYPH and click the icon in the URL bar to view your site permission settings.
Safari (MacOS)
  • To check your permission settings:
    • Log in at GLYPH.
    • Go to Safari Menu > Settings for glyphapp.io.
    • Set Camera to Allow.
    • Set Microphone to Allow.
iOS
  • To check you permissions:
    • Go to your device Settings app.
    • Find and select GLYPH.
    • Verify Microphone and Camera access are toggled On.
Screen Sharing Troubleshooting MacOS
Chrome, Edge & Firefox
  1. Go to System Preferences > Security & Privacy > Screen Recording.
  2. Click the lock icon to make changes.
  3. Enter your password.
  4. Check the box next to Chrome, Edge, or Firefox to allow screen recording.
Safari (MacOS)
  1. While in a huddle, attempt to share your screen and select Allow when prompted.
  2. If you are not asked to allow:
    • Log in at GLYPH.
    • Go to Safari Menu > Settings for glyphapp.io.
    • Set Screen Sharing to Ask.
    • Try sharing your screen again.
